Mastering Stakeholder Management and Communication Protocols

As a PM or COO, managing two or more bosses is inevitable, but having clarity on the communication protocol is crucial. A good approach is to refer to the project contract and your personal PM or COO employment contract.

Even when there are more than two stakeholders, I prioritize the two most important ones — one internal and one external. This helps streamline the escalation process.

Critical information should always involve keeping your “internal boss” in the loop before communicating with anyone else. Once they authorize, you can then inform the “underboss” and the asset owner.

If the underboss insists on bypassing the boss, it remains your ethical and contractual obligation to inform the boss. If the underboss persists, you should escalate the management of change process to include the underboss in your employment contract or project charter.

In conclusion, effective stakeholder management and clear communication protocols are essential for successful leadership in project management. By establishing clear lines of communication and maintaining ethical obligations, you ensure smoother project execution and stronger leadership credibility.
